Responsibilities:
- Provide excellent customer service to ensure a positive patient experience.
- Assist with visitor/caller inquiries and provide relevant information and support.
- Schedule and confirm appointments, as directed by Internal staff.
- Manage appointment calendars and coordinate with internal staff for any changes.
- Handle incoming and outgoing calls, emails, and messages.
- Relay messages accurately and promptly to the relevant staff members.
- Maintain clear and effective communication with staff, and external parties.
- Maintain accurate and up-to-date records of all incoming and/or outgoing documents.
- Manage the front desk area, ensuring it is tidy and presentable.
- Handle administrative tasks such as data entry, filing, and photocopying.
- Order and maintain office supplies and inventory as directed by the Admin Manager.
The ideal candidate for this role should possess the following qualifications and attributes:
- Diploma in Business Administration or a related field (preferred); additional certification in administration is an advantage.
- Proven experience as a receptionist or in a customer service role.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and medical record systems.
- Excellent communication skills, both spoken and written.
- Strong organizational and multitasking abilities.
- High level of discretion and confidentiality.
- Attention to detail and accuracy.
- Good team player with a “can-do” attitude when handling complex situations.
- Possess cultural awareness and sensitivity.
